Operations Associate – Collectibles Operations

What your role will be
As an Operations Associate – Collectibles Operations at Timeless, you will support our Operations team across all organizational and logistical topics related to our physical assets. You will help coordinate shipments, storage, documentation, and operational workflows to ensure that assets are handled in a structured, reliable, and scalable way. 
In addition, you will support day-to-day operational and back-office tasks, contribute to internal coordination, and help ensure that processes run smoothly across the team. You may also support the preparation and execution of fairs, events, and exhibitions where our assets are presented. You will work closely with the Team Lead Operations and gradually take on ownership of your own topics and processes. 

Your responsibilities
  • Coordinate with shipping providers, storage partners, and other external service providers
  • Organize deliveries, pickups, and related logistics processes
  • Prepare shipping and operational documentation
  • Support the coordination of storage appointments and inventory checks
  • Support day-to-day office management and operational back-office tasks
  • Help prepare and support the onboarding of new colleagues, including materials, access, and organizational setup
  • Support the planning and execution of fairs, events, and exhibitions where our assets are presented
  • Assist with the intake, storage, and tracking of physical assets
  • Maintain and update inventory lists and internal records
  • Support inventory counts and ensure that assets are documented correctly
  • Maintain structured filing of important documents and operational records
  • Track shipments and support internal reporting and process follow-up 
What we want to see in you
  • 1–3 years of relevant experience in operations, oAice management, coordination, logistics, or a similar operational environment
  • Structured, reliable, and highly detail-oriented working style
  • Strong organizational skills and a hands-on mindset
  • Comfortable working with high-value or sensitive physical assets
  • Very good German and solid English skills
  • Confident working with Excel / Google Sheets
  • Driver’s license class B is required
  • Based in Berlin or the surrounding area
  • Experience in shipping, logistics, inventory handling, or warehouse-related processes is a plus
  • Interest in structured workflows and operational processes is a plus
